An open access repository is a database system on the Internet where anyone can freely access the compiled scientific knowledge. Institutional repositories, on the other hand, are databases where the scientific literature produced by an institution is collected, stored, indexed, protected, and distributed in a way that allows access by large audiences. In open access repositories, all academic documents produced by institution members, such as articles, papers, theses, books, technical reports, photographs, maps, preprints, lecture notes, research data sets, audio files, video files, etc., can be compiled.
By utilizing the opportunities provided by information technologies, the aim is to ensure free access to the information produced by Kocaeli University academicians on the Internet for anyone who wishes, while also storing, preserving, and transferring the produced knowledge to future generations. Furthermore, it aims to demonstrate the national and international publication performance of our University to gain more recognition and therefore increase its prestige.
DSpace@Kocaeli fulfills the functions of collecting, storing, and making Kocaeli University's intellectual heritage available to the general public. The system has many benefits from institutional, individual, and social perspectives. Some of these benefits include: (list is missing)
DSpace@Kocaeli adopts content principles based on individual archiving. Accordingly, copies of the studies published by university members in scientific journals or different environments such as congresses, conferences, etc., are included in the system and made available to limited or unlimited access before being published. The content to be archived in DSpace@Kocaeli includes: articles published in scientific journals, articles in the publication process, peer-reviewed conference papers, technical/statistical reports, project texts, research data, experiment findings, theses, etc. Priority is given to peer-reviewed journals and publications not published in conference books but accepted for publication. Since publishing articles in journals can take a long time in many fields of science, it is of great importance for such publications to be included in the open-access system immediately after acceptance for other researchers to read and cite.
Metadata is structured information about the compilation, identification, use, and management of digital data and information resources. Providers of open archives initiatives (OAI) are required to provide their metadata in at least Dublin Core format. Dublin Core format is one of the most widely used metadata standards. It was created as a document identification standard and consists of a set of 15 metadata elements to enable the discovery of electronic resources. Thus, metadata communication and effective data exchange between any OAI-compliant data provider and service provider can be achieved.
DSpace@Kocaeli has two basic stages. The first is the 'Data Entry' stage where members include their publications in the system, and the second is the 'Approval Stage' where these submissions undergo an editor's review before being published. Data Entry: It is the process of creating the metadata of the information source to be archived by the author and uploading the file/files. At this stage, the bibliographic information of the publication is entered into the data entry forms of DSpace@Kocaeli, the electronic copy of the work is added to this record, and the author's permission to make the publication available to everyone in electronic form is approved. Approval (Publication of Data): It is the process where the publication is checked to be made available to everyone after the author has included his/her work in the system. In this process, authorized DSpace@Kocaeli editors for each collection first check the metadata of the source (additional metadata entries can be added if necessary), and then check the validity of the file and the adequacy/accuracy of the content information. Editors may also be asked for help in checking publication permissions and arranging access restrictions if deemed necessary.
Establishing an open-access archive is not enough for it to continue its existence and fulfill its function. The continuity of DSpace@Kocaeli's existence and achieving its goal depends on the support of content providers. Considering that an archive with very few documents cannot be said to be beneficial, it is crucial for units and departments to regularly record their academic outputs in the system to maintain DSpace@Kocaeli and provide continuous content.
You can benefit from the 'Membership Guide' for system access/membership.
There is no need for any membership/login process to navigate the system and benefit from existing documents. System membership is only required for users who will submit content.
To submit (register) to DSpace@Kocaeli, you need to log into the system and be authorized in the collection where you want to enter the record. After your initial login to the system, a few days later, the System Administrator will grant you authorization to enter data into the collection you are involved with. To submit to a collection other than the one you are authorized for, send an email to the system administrator at acikerisim@kocaeli.edu.tr stating that you want 'registration entry authorization' with the name of the collection.
For a work to be included in DSpace@Kocaeli, the researcher must have the right to move the work to an electronic environment, and the usage methods must comply with the copyright rules of the work. There is no need to request permission for archiving 'preprint' works of authors that have not yet been published because the copyright owner is the author. Unless the work to be stored is the final published version, there is no copyright infringement. If an author wishes to archive a copy of a previously published work, permission from the copyright holder is required (currently, nearly 70% of publishers allow self-archiving). In cases where the copyright holder is the publisher, the publisher's permission policy can be checked before archiving at 'http://www.sherpa.ac.uk/romeo/'. If it is not listed at this address, it is recommended to directly contact your publisher to obtain the necessary permission. During archiving, you can determine your own license restrictions for your works through 'Creative Commons Licenses'. For detailed information about Creative Commons licenses, you can visit 'https://creativecommons.org/licenses/?lang=tr'.
It is possible to restrict accessibility through the archive during the 'embargo period,' during which the publisher (copyright holder) has not provided publication permission for the works (So, the fact that a work is embargoed does not prevent it from being included in the DSpace@Kocaeli system). The embargo period is the period specified in the protocol signed between the publisher and the author (such as 6 months, 12 months, or 24 months). Within this period, the work is included in the system along with its metadata; however, the main file cannot be opened until the embargo period (access permission date) specified during data entry expires. You can obtain the most accurate information about legal embargo periods from your publisher.
You can send all your views, suggestions, and questions about the system to acikerisim@kocaeli.edu.tr via email.
